  • Whilst we do our utmost to ensure our drivers are punctual, you will understand that we cannot accept responsibility for delays caused by circumstances out of our control.
  • The driver will drive at safe speeds in accordance with road conditions, traffic and legal speed limits.
  • Clients are responsible for any damage they cause to the interior or exterior of a vehicle on hire to them and will be billed accordingly for any repair or valeting required in order to reinstate a vehicle to working order - as well as any subsequent loss of earnings for the driver for the consequence of their vehicle being off the road.
  • We may provide subcontracted vehicles.
  • By supplying your email address, you permit RG TRAVEL LUXURY SERVICE LTD to contact you via email, in return, we promise never to supply your email to any third party.
  • We reserve the right to change your vehicle or chauffeur at any time if necessary.
  • Our Chauffeurs will travel by the most appropriate route on the day unless instructed otherwise by the Customer at the time of booking.
  • RG TRAVEL LUXURY SERVICE LTD vehicle(s) and sub-contracted vehicles are fully insured for passenger and third-party claims. However, customer's properties are carried entirely at their own risk and RG TRAVEL LUXURY SERVICE LTD shall not be held responsible/liable for any loss/damage to such property.
  • RG TRAVEL LUXURY SERVICE LTD will keep a lost property book at their office and will return any lost goods left in our vehicle(s) or subcontracted vehicle(s) to the customer.
  • RG TRAVEL LUXURY SERVICE LTD and its chauffeurs have the right to refuse to carry any passenger who is under the influence of alcohol or drugs and whose behaviour poses a threat either to the Chauffeur, the vehicle or any other passenger(s).
  • RG TRAVEL LUXURY SERVICE LTD maintains a strict non-smoking policy in all its vehicles.
  • Online quotations do not apply on public and bank holidays like Christmas Day. On Christmas Day, Boxing Day and New Year's Day, there will be a 100% surcharge on all journeys. All other Bank Holidays will be subject to a 50% surcharge.
  • All major sporting events such as Wimbledon and Ascot are charged at a premium rate which may mean online bookings for these types of events may not be valid.
  • We do not accept online bookings for wedding journeys. Weddings are a specialist booking and we require that you call the office to discuss and book your wedding journeys.

BOOKING TRANSPORTATION SERVICES

RG TRAVEL LUXURY SERVICE LTD are a  licensed private hire vehicle operated  by Hertsmere  Borough Council. we only accept booking requests for chauffeur-driven travel directly from our clients/passengers. Our chauffeurs are not licensed to accept a booking request. Please only book through our website booking form, email: booking@rgtravelluxury.com , or telephone: 020 7101 3668 The contract for all bookings is between the client/passenger (i.e: the company or person booking and paying for the transport service) and RG TRAVEL LUXURY SERVICE LTD. 

RG TRAVEL LUXURY SERVICE LTD is responsible for both accepting the booking as well as the provision of the transportation services. 

RG TRAVEL LUXURY SERVICE LTD only accept payments directly. 

Our chauffeurs never collect fares. RG TRAVEL LUXURY SERVICE LTD reserve the right to cancel any booking with a passenger. 

If that a booking cannot be made, which can include sudden emergency for the driver, unavailability of the vehicle, or extreme weather conditions, bookings may be cancelled with a full refund. 

All bookings are subject to availability. For transfer services, customers are entitled to 60 minutes of free waiting time for airport pickups after the agreed-upon pick-up time. 

For any other pick-up location, customers are given a 15-minute grace period before extra waiting time charges apply. 

Once the free waiting time is over, every additional minute will incur a flat rate charge, which will be calculated based on the hourly booking price of the agreed pick-up location and the vehicle category rate.    

Central LONDON CONGESTION CHARGE Zone An additional £5 will  be added to journeys starting, ending or passing through the London Congestion Charge Zone. 

PAYMENT TERMS

  • Payment Terms — All payments are due in full before any bookings are undertaken. Online bookings are charged automatically by RG TRAVEL LUXURY SERVICE LTD at the time of booking.
  • Payment Methods — RG TRAVEL LUXURY SERVICE LTD accept most Credit or Debit cards including American Express. BACS transfers must be received before any bookings are undertaken.
  • Wedding Bookings — For wedding bookings, a 25% deposit is required at the time of the booking, with the remaining balance due 14 days prior to the actual booking.
  • Changes to Bookings — Any extra service rather than the original booking price, such as additional waiting time, extra hours, car parking and address changes, will automatically be charged from the credit card that you provided upon booking.
  • Credit Card Statement — The charge on your credit card statement will be shown as RG TRAVEL LUXURY SERVICE LTD.
  • Preauthorisation — RG TRAVEL LUXURY SERVICE LTD may pre-authorise a user’s credit card to ensure that there are enough funds to pay for the booking.
  • Multiple credit cards — Customers may link multiple credit cards to a personal or business account. Upon booking, customers may choose their preferred card. In the event that RG TRAVEL LUXURY SERVICE LTD is unable to charge the preferred card, it will charge any other card linked to the customers personal or business account.

BUSINESS ACCOUNT CUSTOMERS

  • Invoices — All invoices to be paid to RG TRAVEL LUXURY SERVICE LTD, within 30 days of the date of the invoice, unless otherwise agreed in writing.
  • Monthly payment — On approval, business account customers can pay monthly. RG TRAVEL LUXURY SERVICE LTD will provide a detailed invoice at the beginning of each month. This will include a breakdown of all journeys and charges, disbursements, parking and cancellation fees incurred under that business account during the preceding month.
  • Overdue payment — RG TRAVEL LUXURY SERVICE LTD reserves the right to suspend customers access to their business account in the event of any overdue payment.
  • Late payment charges — RG TRAVEL LUXURY SERVICE LTD reserves the right to be paid all costs for recovering late payment from overdue business account customers. This will include RG TRAVEL LUXURY SERVICE LTD administrative costs and any associated costs incurred with lawyers or debt collection agencies.

CANCELLATION AND REFUND POLICY

  • If a booking is cancelled by the Customer 24 hours prior from the start of the period of hire, all monies paid will be refundable.
  • If a booking is cancelled by the Customer less than 24 hours from the start of the period of hire, 50% of all monies paid will be non-refundable.
  • If a booking is cancelled by the Customer less than 12 hours from the start of the period of hire, all monies paid will be non-refundable.
  • If a wedding booking is cancelled within 30 days from the start of the period of hire, the deposit will be non-refundable.
  • If multiple vehicle bookings are cancelled by the Customer, within 7 days from the start of the period of hire, 100% of all monies paid will be non-refundable.
  • If the customer does not show up at the time and place designated as the pickup point, all monies paid will be non-refundable .. A No Show is only considered if the Customer is not present without cancellation 60 minutes past booked pickup time and location. No shows such as this will mean a full charge of the Customer's booked service must be paid for. No extra waiting time costs will apply where possible.

Airport and train station pickups are considered no shows when the Customer has not canceled 60 minutes prior to the booked pickup time. Customers booked service must be paid for in full in this situation; however, no extra waiting time costs will apply where possible.

MINIBUS & COACH TERMS

  • VAT - Minibuses and coaches are VAT exempt.
  • If a booking is cancelled by the Customer within 48-72 hours from the start of the period of hire, 25% of all monies paid will be non-refundable.
  • If a booking is cancelled by the Customer within 24-48 hours from the start of the period of hire, 50% of all monies paid will be non-refundable.
  • If a booking is cancelled by the Customer within 24 hours from the start of the period of hire, 100% of all monies paid will be non-refundable.
  • If a wedding booking is cancelled within 1 month from the start of the period of hire, the deposit will be non-refundable. If a wedding booking is cancelled within two weeks from the start of the period of hire, the full hire amount will still be charged to the customer.
  • If a booking is cancelled by the Customer for major sporting events such as Wimbledon and Ascot, within 5 days from the start of the period of hire, 100% of all monies paid will be non-refundable.
  • If the customer does not appear at the time and place designated as the pickup point, all monies paid will be non-refundable.

CONSUMER RIGHTS

  • RG TRAVEL LUXURY SERVICE LTD consumers have legal rights in relation to services that are not performed with professionalism and a duty of care, either by our chauffeurs, or our office team.

  • If the customer has any complaints regarding RG TRAVEL LUXURY SERVICE LTD, the customer is encouraged to inform RG TRAVEL LUXURY SERVICE LTD as soon as possible, but no later than 7 days after the booking.
  • RG TRAVEL LUXURY SERVICE LTD will always try to facilitate an amicable solution to any complaint and may provide a refund or an account credit after the resolution of each case has been carefully investigated.

DATA PROTECTION AND PRIVACY
